Clear answers for guests, staff and restaurant owners.

Understand the workflow, permissions, Open Access capacity, service credits, invoice history and payment boundaries before taking action.

Guests

Do I need to sign up?

No. Joining the queue does not require an account, name or phone number.

Is the wait time guaranteed?

No. It is a range based on digital turns and Outlet-observed conditions. Service and preparation conditions can change.

What if I miss my turn?

To keep the line fair, the Outlet can mark the turn missed. Join again at the back if needed.

How do I know food is ready?

For a linked paid order, the private pass shows the status restaurant staff recorded. Browser and managed-message alerts depend on the channels available for that visit.

Do I pay QwikPass for an order?

No. The restaurant receives the order payment through its own connected Razorpay account when online checkout is enabled.

Staff

Can I bill a direct walk-in?

Yes. A bill does not require a QwikPass turn or customer phone number.

Does payment confirmation prove receipt?

No. It records the staff member’s confirmation that the restaurant received payment.

Why does every UPI bill have a new QR?

The server binds the restaurant’s assigned payment destination, the exact outstanding amount and a unique reference into a ten-minute QR. Staff must still verify receipt before confirming payment.

Can a cashier change the UPI destination?

No. Cashiers may display the effective bill QR, but only an owner or a person with delegated payment-profile authority can change where money is sent.

Can I see every Outlet?

Only Outlets assigned to your membership, and only the actions allowed by your role, grants and explicit denies.

What does a Cashier receive by default?

The Cashier role covers queue, billing, payment, invoice and order operations for assigned Outlets. Sales totals, analytics, team, plan and Organization settings remain separate permissions.

Why did new bills stop?

The Outlet used its included monthly operation allowance and the Organization has no available prepaid service credits. Reserved work may still finish, and existing invoices remain available to authorized staff.

Owners

What counts as a queue journey, and how do the limits work?

One queue journey is counted only when a guest is successfully admitted to an Outlet’s digital line and receives a private pass. Reopening or refreshing that pass—and staff moving it through approach, called, arrived or served—does not create another journey. The active-pass limit is separate: it controls how many unfinished digital turns can exist at once, and a place becomes available when a turn is served, missed or cancelled. Monthly journeys are counted per Outlet and reset with the plan month; ordinary walk-ins are not counted unless they join the digital queue. Invoice allowances and WhatsApp invoice/order-update credits use separate counters. Starting a bill reserves one invoice slot for 20 minutes; cancelling it or letting it expire releases that slot.

What does Open Access include?

No card or subscription is required. The Organization receives Pro-level restaurant tools for up to ten configured Outlets and 25 named users, plus one shared allowance of 300 service credits each month.

How are included service credits used?

A completed counter bill or paid pickup order uses 1/20 credit (5 credits per 100 operations); an online order and its invoice count once. One WhatsApp invoice or order update uses 1 credit. All Outlets draw from the same Organization pool.

What happens after the included pool is used?

The Organization can use one-time prepaid service credits. Each prepaid credit covers 20 additional completed operations or one transactional WhatsApp message. Purchases start at 250 credits (₹100 before tax), never expire and are non-refundable after crediting.

Who controls invoice details and tax?

The Organization configures legal seller, item, price, tax and invoice fields. The restaurant remains responsible for accuracy, numbering, statutory wording and compliance.

How do payment profiles work across Outlets?

The owner can assign one Organization default to current and future Outlets, assign a profile to selected Outlets, or override one Outlet. An assigned profile cannot be archived until an active replacement is chosen.

What happens when I disconnect restaurant Razorpay?

New online checkouts pause immediately. Existing short-lived payments may finish during a 20-minute window, then QwikPass revokes OAuth access while preserving Orders, invoices, payment references and audit history.

Do old invoices disappear when the month resets?

No. The allowance counter resets; issued invoice records do not routinely auto-delete. Private links may be revoked independently from the protected restaurant record.

How are customer messages charged?

Each transactional WhatsApp invoice or order update uses one credit from the same shared 300-credit Organization-month pool as completed billing and pickup operations. Any Outlet may use the remaining shared pool. After it is used, one available prepaid service credit funds one transactional message. Private live pages, PDF and email use no WhatsApp credit. Marketing remains unavailable on the shared QwikPass sender.

How do I add more Outlets?

Open Access supports up to ten configured Outlets. All Outlets draw from the same Organization-wide monthly service-credit pool; Enterprise capacity is contracted beyond that boundary.

How many staff can I add?

Open Access includes 25 named Organization users. Assigning one person to several Outlets still uses one seat.

Private link unavailable?

Private passes and invoices are never searchable. Return to the participating Outlet page, or ask authorized restaurant staff to reopen or resend the record. A broken public capability does not necessarily mean the protected invoice record was deleted.
